Cancellation & Refund Policy

1. Customer Cancellations

1.1 Cancellation Timeframes

• All cancellations must be in writing (email accepted)
• Cancellation date is when we receive your written notice
• Refunds will be processed within 30 business days
• Refunds will be made to the original payment method

2. Tour Operator Cancellations

2.1 Minimum Group Size

Some tours require a minimum number of participants. If we cancel a tour due to insufficient bookings, you will receive:

• Full refund of all payments made
• Option to transfer to another tour date
• At least 30 days notice (when possible)

2.2 Force Majeure

If we must cancel a tour due to circumstances beyond our control (natural disasters, political unrest, etc.), we will:

• Offer alternative tour dates
• Provide credit for future travel (valid for 12 months)
• Refund recoverable costs only

3. Changes by Customer

3.1 Date Changes

• Date changes requested 60+ days before departure: No charge
• Date changes 30-59 days before departure: 15% administration fee
• Date changes 0-29 days before departure: Treated as cancellation
• Subject to availability on new dates

3.2 Participant Changes

• Name changes allowed up to 30 days before departure
• Administration fee of $50 per name change
• New participant must meet all tour requirements

4. No-Shows

Participants who fail to arrive for the tour without prior notice will not receive any refund and will be responsible for any costs incurred.

6.1 Medical Cancellations

If you must cancel due to medical reasons, we require a doctor's certificate. Refunds will be subject to our standard policy, but we will make every effort to be flexible and may offer travel credit.

6.2 Visa Refusals

If you are refused a visa, we require official documentation from the embassy. Cancellation charges will apply, but we may refund non-recoverable costs only.

7. Refund Processing

• Refunds processed within 30 business days of cancellation
• Bank transfer fees may be deducted
• Refund amount in original currency of payment
• Exchange rate fluctuations may affect final amount

8. Dispute Resolution

If you have any concerns about cancellation charges, please contact us first. We aim to resolve all disputes amicably. If we cannot reach agreement, disputes will be resolved through mediation in Gilgit-Baltistan.
